Sunshine on a Ranney Day (legally Sunshine On A Ranney Day Incorporated; "SOARD," "we," "us," or "our") is a 501(c)(3) nonprofit organization (EIN: 45-4773997) based in Roswell, GA. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at sunshineonaranneyday.com (the "Site"), make a donation, purchase merchandise, or otherwise interact with us.

By using our Site, you agree to the practices described in this policy. If you do not agree, please discontinue use of the Site.

01Information We Collect

Information You Provide

  • Donation information: Name, email address, mailing address, phone number, and payment details when you make a donation.
  • Purchase information: Name, shipping address, email, and payment details when you buy merchandise through our shop.
  • Newsletter sign-up: Email address when you subscribe to our mailing list.
  • Reveal reminders: Email address when you ask us to remind you about a live room reveal.
  • Room applications: Family contact information and details about your child's needs when you apply for a room makeover.
  • Contact forms: Name, email, and any message content you submit.
  • Event registration: Name, email, and any additional details required for event participation.

Information Collected Automatically

  • Usage data: Pages visited, time spent on pages, referring URLs, and navigation paths.
  • Device information: Browser type, operating system, screen resolution, and device type.
  • IP address: Used for security, fraud prevention, and approximate geographic location.
  • Cookies and similar technologies: See Section 6 below.

02How We Use Your Information

We use the information we collect to:

  • Process donations and issue tax-deductible receipts.
  • Fulfill merchandise orders and provide customer support.
  • Send newsletters, impact updates, and event invitations (with your consent).
  • Evaluate room makeover applications.
  • Improve our Site, content, and user experience.
  • Comply with legal obligations, including IRS reporting requirements for nonprofits.
  • Prevent fraud and protect the security of our Site.

03How We Share Your Information

We do not sell, rent, or trade your personal information. We may share information with:

  • Payment processors: Zeffy, our donation platform, to securely process transactions.
  • Service providers: Email platforms, hosting services (Cloudflare), and analytics tools that help us operate the Site.
  • Address lookups on the application: As you type the home address on a makeover application, our server sends that address (and nothing else about you) to the U.S. Census Bureau's address service to find it on the map and check it against our service area, and the street part to OpenStreetMap's Photon search to suggest matching addresses. Neither service is told who you are.
  • Legal requirements: When required by law, court order, or governmental authority.
  • With your consent: For example, sharing a family's story with their explicit written permission.

Text message opt-in data and consent are excluded from all of the categories above. See Section 4.

04Text Messages

We do not text the public. Our Site never asks visitors for a phone number to receive texts.

We send text alerts about our live room reveals only to SOARD staff and volunteers, after they agree to receive them and a staff member adds their mobile number to our alert list. The first text confirms they are on the list. After that they get a text when a live reveal has a problem and when it is fixed, when the check an hour before a reveal runs, and when a reveal goes live and is confirmed working. How many texts arrive depends on how many reveals we hold, usually a few per reveal. Message and data rates may apply.

  • Opting out: Reply STOP to any text and you will get one confirmation and no more texts. Reply START to sign up again.
  • Help: Reply HELP, email info@soardcharity.com, or call (770) 990-2434.
  • How we use the number: Only to send these reveal alerts. We never use it for fundraising or marketing texts.
  • No sharing: We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We share it only with the vendors that deliver our texts and support the service, such as Twilio. Text message opt-in data and consent will not be shared with any other third party.

Text messaging is also covered by our Terms of Service.

05Children's Privacy

Our Site features stories and photos of children we have served, shared only with the express written consent of their parents or legal guardians. We do not knowingly collect personal information directly from children under 13 through our Site.

If you are a parent or guardian and believe your child has provided us with personal information without your consent, please contact us at info@soardcharity.com and we will promptly delete it.

06Cookies & Tracking Technologies

Our Site may use:

  • Essential cookies: Required for Site functionality (e.g., form submissions).
  • Analytics cookies: To understand how visitors use our Site and improve the experience.

You can control cookies through your browser settings. Disabling cookies may affect some Site functionality.

07Data Security

We implement commercially reasonable security measures to protect your personal information, including SSL/TLS encryption for data in transit and secure storage practices. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

08Data Retention

We retain your information for as long as necessary to fulfill the purposes described in this policy, comply with legal obligations (e.g., tax records for seven years), resolve disputes, and enforce our agreements.

09Your Rights & Choices

  • Unsubscribe: Every marketing email includes an unsubscribe link.
  • Access & correction: You may request access to or correction of your personal information.
  • Deletion: You may request that we delete your personal information, subject to legal retention requirements.
  • Do Not Track: Our Site does not currently respond to "Do Not Track" browser signals.

10Data Deletion Requests

You can ask us to delete the personal information we hold about you at any time. Email info@soardcharity.com with the subject line "Data deletion request" and tell us the email address or phone number you used with us. We will confirm the request, delete your information from our systems within 30 days, and let you know when it is done. Records we are legally required to keep, such as donation receipts for tax purposes, are retained for the required period and then deleted.

Reveal reminders: every reminder email includes a stop link that removes you from the reminder list immediately. Staff alert texts end when you reply STOP.

Facebook: our Facebook app is used only to publish live videos to our own Facebook Page. It does not collect personal information from Facebook users. If you believe we hold any data connected to your Facebook account, send the same request to the address above and we will delete it within 30 days.

Our Site may contain links to third-party websites (e.g., social media platforms, GuideStar). We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before providing any information.

12Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Continued use of the Site after changes constitutes acceptance of the revised policy.
